Job Title: Executive Assistant to the CEO
 
Industry: Exhibition & Events (Water, Waste & Infrastructure.

We are a German Company in Egypt is  Organizing  exhibitions specializing in water, waste, and infrastructure events. 

Job Summary:
 
We are looking for a highly organized, proactive, and business-savvy Executive Assistant to support the CEO. This role involves a mix of administrative support, sales coordination, client management, and financial follow-ups. The ideal candidate should be detail-oriented, strong in communication, and comfortable handling both office tasks and external business meetings.
 
Key Responsibilities:

 Administrative & Executive Support:
 
Manage the CEO’s calendar, schedule meetings, and coordinate appointments.
 
Prepare reports, presentations, and documents for internal and external use.
 
Handle confidential files and organize business records.
 
Assist with travel arrangements, including flights, accommodations, and itineraries.
 
 
 Sales & Client Relationship Management:
 
Assist in selling exhibition spaces and managing client relationships.
 
Contact potential exhibitors, sponsors, and partners for sales opportunities.
 
Attend client meetings and industry events to represent Expotec.
 
Build and maintain strong relationships with exhibitors and sponsors.
 
 
 Financial Follow-ups:
 
Call clients to follow up on outstanding payments and ensure timely collections.
 
Coordinate with the finance department to track payments, invoices, and overdue accounts.
 
Maintain organized financial records and assist in payment reconciliation.
 
 
 Exhibition & Business Support:
 
Assist in organizing water, waste, and infrastructure exhibitions.
 
Research potential partners, sponsors, and industry trends.
 
Help with exhibitor and attendee coordination.
 
Support event logistics, including vendor communication and on-site management.
 
 
 Office & Operations Management:
 
Oversee day-to-day office operations to ensure efficiency.
 
Coordinate with suppliers, vendors, and service providers.
 
Assist in HR functions, including hiring and onboarding new employees.
 
 
Qualifications & Skills:
 
✔ Experience: 2+ years in an Executive Assistant, Sales, or Client Relations role (preferably in exhibitions,events, or business management).

✔ Education: Bachelor's degree  required.

✔ Sales & Negotiation Skills: Ability to engage and close deals with potential exhibitors and partners.

✔ Tech-Savvy: Proficiency in Microsoft Office, Google Suite, and CRM or event management tools.

✔ Strong Communication: Excellent English and
Arabic skills (written and verbal).

✔ Highly Organized: Ability to manage multiple tasks
and prioritize effectively.

✔ Problem-Solver: A proactive, self-motivated mindset with strong attention to detail.

✔ Financial Awareness: Comfortable following up on payments and coordinating with finance teams.

✔ Confidentiality: Ability to handle sensitive business information professionally.
