تفاصيل الوظيفة

admin assistant
 Oversee daily office operations, including managing office supplies, equipment, and general office -
Responsible on plan of cars for visitors and employee’s transportation at lower cost and best service-
Coordinate and maintain the office environment to ensure a safe, organized, and efficient workspace-.
 Manage office maintenance, cleaning schedules, and liaise with service providers as necessary.-
 Maintain accurate records of documents, files, and correspondences-.
 Ensure the organization’s filing systems are updated and organized, both physical and digital-.
o Manage calendars, appointments, and meetings for executives and departments-.
 Schedule and coordinate meetings, including conference rooms, video conferences, and necessary materials.
Arrange travel itineraries, including booking flights, hotels, and transportation for staff and executives.
Arranging working permits, and any other arrangements related to accommodations
 Assist in organizing company events, conferences, and meetings.
 Manage event registrations, invitations, and arrangements for food, venue, and equipment.
 Responsible for Mobile sim cards aligning with IT dept and keeping updated database
 Assist with basic financial tasks, such as processing invoices, purchase orders, and expense reports.
 Maintain and update budgets for office supplies and other operational costs.
 Coordinate with the finance team to ensure timely payments and accurate financial documentation.
 Monitor and maintain inventory levels for office supplies, ensuring timely restocking.
 Procure office supplies and equipment, ensuring cost-effectiveness and quality.
 Maintain vendor relationships and track purchases to ensure compliance with budgetary guidelines.
 Help track project deadlines, resources, and ensure team collaboration.
 Provide administrative support to various departments as needed to facilitate operations.
 Assist in implementing office policies, guidelines, and processes.
Qualifications:
• Experience in industry fields not less than 10 years
• Strong knowledge of office management procedures and office software (Microsoft Office Suite, Google Workspace, etc.).
• Excellent organizational and time-management skills.
• Strong verbal and written communication skills.
• Ability to prioritize tasks and handle multiple responsibilities effectively.
• Attention to detail and accuracy in administrative tasks.
