Greet visitors, trainers and trainees in a respectful manner and direct them to their scheduled appointments/ trainings.
• Contribute to the office security by helping to monitor viators’ access.
• Answer all calls and direct them to the appropriate staff member.
• Make appointments for the Managing Director, confirm appointments and make appointments reminders as needed.
• Schedule the weekly staff meetings, confirm meetings and remind the staff.
• Take meeting minutes and meeting notes and send them to the staff.
• Provide general administrative and clerical support.
• Contribute to the file system of the organization in terms of collection, verification, database entry and filing.
• Make copies of administrative forms and other required documents.
• Daily check the incoming and outgoing mails and correspondences and file them.
• Keep hard and soft copy files of all the important correspondences.
• Hand all the correspondences and files to the Ministry of Social Affairs in a timely manner.
• Maintain the communication with social insurance and the labor office.
• Obtain and send any needed information or documents using a computer, mail or fax machine.
• Process and prepare travel vouchers and make all the needed travel arrangements.
• Supervise the work and the attendance of the office boys.
• Monitor the attendance, mission requests and the leaves of the employees.
• Collect all the attendance and leave requests, keep copies of them and file them and hand them to the Financial manager.
• Keep track and file all the employees’ mission requests.
• Maintain the office cleanliness and guide the office boys in this process.
• Monitor the kitchen and buffet supplies for the office and for the trainings.
• Create a database of vendors, companies and service providers.
• Assist in the recruitment process through scheduling interview appointments in coordination with the rest of the team.
• Draft a monthly report based on the agreed deliverables.
• Perform any additional tasks as requested by the Managing Director.
